Please correct me if I'm mistaken, but I believe you're asking why you need to first add the birthday party under the program record and then again under the itinerary of the group, correct?
Ex. First you go to your birthday parties program, click "Add" to create the event, and then you go back into the group to add the birthday party under the itinerary which is a few more clicks.
For right now, the system sees this as two different things. The first part of what you're doing simply creates the event and blocks the room, but does not necessarily connect it to the reservation. By placing it on the itinerary, this is how Altru then recognizes that the reservation is connected to the birthday party event they are doing.
I realize that this process is more clicks than desirable, but I'm happy to let you know there is an awareness on the team here that we have some work to do to make the group sales work flow more intuitive and also more efficient, I'm excited about what we have in the future coming for you all!
In the meantime, here is what I think it the most efficient workflow to book this in one intuitive step:
1) Create the reservation under Sales > Group Sales > Add
2) Go to the itinerary under the Itineraries tab and open it (by clicking the hyperlink)
3) On the left, click "Schedule program"
4) Search for and select your birthday party program
5) Fill out the details of the event and save it to create the event
6) Press the "Back" button to back to the itinerary
7) On the right, click Add > Scheduled event and highlight the birthday party event and save it to the itinerary
